We’re now less than two months from the end of another calendar year, which is the end of the fiscal year for many, and with the holidays in there it will be upon us sooner than we realize!
So, to get ready, see the sections below for important information regarding upcoming FREE webinars on closing the month/period, fiscal year, and payroll year and Payroll Tax Subscriptions for 2012.
Another important component of your year-end preparations is to make sure that you can reach us if/when you need to. If you don’t already have a copy of NexLAN’s Emergency Contact Information tacked to the wall in your server room – then you should! Hit <Reply> and we’ll get a copy right back to you so that whenever you close, if you need a hand then you can reach us no matter when that is. Also, please note NexLAN will be closed for the holidays on November 24th for Thanksgiving, December 26th for Christmas, and January 2nd for New Year’s.
Finally, we’re upgrading clients by the dozens to AccountMate/SQL V8.2. All the “smart” end-users are on LifeCycle Maintenance and have this version in hand – contact us to schedule your installation. If you’re on an older version and don’t have a software maintenance agreement then let’s make an opportunity SOONEST to discuss how you can leverage your Section 179 deduction – or even finance the upgrade (including services) with no payment until February, yet still take advantage of accelerated depreciation in 2011!

Free Period/Year/Payroll Closing Webinars
AccountMate is hosting FREE one-hour webinars in December on procedures for closing of fiscal periods, fiscal years, and payroll years. We expect these to fill up quickly, so please respond promptly with your preferred dates/times if you’re interested.
Period-End Closing in AM 8 will be held on December 7 from 12-1 CST, covering the recommended procedures to close the period in the subsidiary modules. It will also identify some common issues which may arise during the closing process and how to resolve them.
Closing the Payroll Tax Year in AM 8 will be held on December 8 from 12-1 CST and is specifically for closing the payroll tax year whether your fiscal year ends on December 31st or not. Also discussed are the reports affected by the tax year closing process.
Fiscal Year-End Closing in AM 8 will be held on December 9 from 12-1 CST to discuss the requirements and procedures for closing the fiscal year. Some tips to help effectively perform year end closing will also be discussed.

Payroll Tax Subscriptions for 2012
AccountMate is now accepting orders for payroll tax subscriptions for all LAN and SQL versions for which current and extended maintenance plans are available.
Pricing by platform/version and for Federal plus various numbers of states are listed in the table following.
We’ll be in contact soonest with information regarding your order from last year, as most likely you’ll just want to repeat that order.

Tech Note: Understanding the Sales Order Credit Hold Feature
Companies who extend credit to their customers need to enforce credit limits while having the flexibility to capture customer order information. AccountMate 8 for SQL and Express introduces the Sales Order Credit Hold feature that helps companies achieve their goals. This feature allows users to put sales orders on credit hold for customers who have exceeded their credit limit. Credit hold orders increase the inventory items’ booked quantities so that the company knows the actual demand for its products; however, the orders must be approved from their credit hold status before they may be shipped.

Q: I have posted WIP to all items on one work order and have posted finished jobs on some of the items. Recently, the Bill of Materials (BOM) changed for one of the items. I tried to use the Amend Work Order function to see this information; however, neither the Parent Line Items tab nor the Component Line Items tab is accessible. How can I find out what was included in the original BOM?
A: Once you have posted WIP for a work order, the Parent Line Items tab and the Component Line Items tab are disabled. The Materials Explosion Report will provide the components that were contained in the original BOM.

Q: What report in AccountMate provides information about AP invoices and their associated purchase order numbers?
A: Starting in AccountMate 8.2, the AP Check Distribution Report is enhanced to show the AP invoices and the corresponding purchase order numbers. Authorized users have the option to include the purchase order (PO) number in the report by marking the Show PO # checkbox in the report window and drilling down on the PO # field in the report to view the purchase order document.

TIP: The Audit Trail Feature, available starting in AccountMate version 8, provides the ability to track data entry changes that include information about the user who made the change and the date when each record was last amended or cancelled. To set up an audit trail, access the Administrator program; then, select Setup ► Audit Trail ► Audit Trail Setup.
