Dear AccountMate Clients;
Earlier this month, we attended Synergy, AccountMate’s annual VAR conference, near their headquarters in northern California. Though it’s been a couple of weeks since we returned from the west coast, we have not lost our excitement about the upcoming release of AccountMate for SQL 7.0.
AccountMate’s objectives for this new version, expected to be released in the end of the second quarter, include:
- Enhancing the system based on feedback from both end-users and VARs
- Incorporating many of the features currently found exclusively in the international version of AccountMate
- Increasing end-user productivity (a goal for every version released)
- Redesigning and standardizing the layouts of all forms and checks
- Enhancing electronic documentation, including online help and a “getting started” guide for new users
As a result, there are over 200 new features slated to be included in this new version. Below are a handful of the functions we saw in the “beta” version at the conference, but keep in mind that we won’t know the final features list until the new version ships.
- Schedule transfer to GL for each module as well as period-end closing, complete with error reporting. So, instead of having to wait for everyone to be out of the system, these processes can be scheduled to run off-hours.
- The ability to copy and paste between Excel and AccountMate grids. You can create and edit GL batches and move the entire batch – at once – into AccountMate for posting.
- Multi-level translation engine (from the international version), meaning that you can put the field names in your own language, be it French, Spanish or even industry-specific terminology.
- Set specific password policies and requirements for improved security and Sarbanes-Oxley compliance.
- Establish authorized purchase accounts to protect against fraud and data entry errors.
- Create Positive Pay file, which is provided to your bank, listing the checks authorized to clear your account to help protect against fraud.
While the Payroll module has historically lagged in features, this new version is as rich, flexible and feature-laden as the rest of the modules in AccountMate. Entirely rewritten, this version also interfaces to both SQL 7.0 and an upcoming build of LAN 6.5. Some previewed Payroll features include:
- Pay employees at multiple rates under multiple earning codes on a single check.
- Establish multi-tier paid leave accrual rates (vacation, sick personal time).
- Native ability to create ACH files for direct deposit.
We were indeed blown away by the many enhancements in this new version, but more importantly, this clearly demonstrates AccountMate’s commitment to developing the product as the needs of businesses change and grow.
We look forward to seeing the final version of AccountMate for SQL 7.0 and will update you as we can.

Tech Note
Occasionally, AccountMate receives inquiries about cost adjustments posted to inventory. The confusion results from the fact that the user cannot recall posting these adjustments themselves. Although the individual transaction amounts may be immaterial, users would still like to know what situations give rise to these adjustments and how the system determines the adjustment amount. This Technical Note deals with system-generated cost variance adjustments. It identifies the conditions that result in inventory cost variances and explains how the system computes the adjustment amount.

A: Choosing Terms as a type will disable this checkbox.

Q: The value in the PO BackOrd. field in the Vendor Maintenance window does not match the total value of the purchase orders listed in the drilldown field. How can I correct this?
A: Access the Data Manager and perform Recalculate Vendor Data. This function will also recalculate the values in other fields such as ATD purchases, YTD purchases and Balance.

Q: When I set the AR Invoice Line Item report to be sorted by Item # + Warehouse I see a line that says ”X Records(s)”. What does this mean?
A: This information tells you the number of invoices where that item in that particular warehouse was used.

Q: When I process purchase orders I use my vendors’ part numbers. I want to see a report sorted by vendor that includes the vendor part numbers and their equivalent item #’s and vendor pricing.
A: Generate the Vendor Price Listing Report to obtain this information.

Q: What is the difference between 1099-MISC forms generated from AP and those generated from the PR module?
A: You can generate from the AP module any 1099 payment; however, in the PR module you can only generate payments to contractors under “Non-employee compensation” type.
NOTE: You must generate 1099-MISC forms using the Payroll W-2/1099 program if data was entered in the PR module.

Q: Is there a way to create a price code from within the Inventory Multi-Level Price Maintenance function? When I attempt to do so, the system does not allow me to add a new price code using the Add button.
A: In the grid, point to the Price Code column label; then, right-click to display the Miscellaneous Maintenance function where you can set up new price codes.

Q: How can I directly view a particular page(s) in AccountMate reports?
A: Click the Go to Page button of the report toolbar; and if you are using a LAN version, enter the desired page number(s) in the Go to Page window. If you are using a SQL or MSDE version enter the desired page number(s) in the blank field of the report toolbar.
