Dear AccountMate Clients,
At the risk of “preaching to the choir”, I’ve had occasion to chat with a few of our clients over the past year about the cost/benefit of AccountMate as the backbone of their financial management and ERP systems – and I continue to be impressed with the product and it’s direction.
Especially in today’s competitive marketplace (Have you read “The World Is Flat” by Thomas Friedman? If not, e-mail me and I’ll send you a free copy- no kidding!), any business is only as strong as their systems – and AccountMate’s value proposition of industry-leading functionality plus unparalleled flexibility via their modular design and available source code is unmatched in the mid-tier financial management software world.
There’s some great points in the recent whitepaper Source Code Based Enterprise Resource Planning (ERP) Promises Even Bigger Gains – but I’d also like to highlight one that many AccountMate end-users aren’t aware of: the multilingual ability of AccountMate, as implemented in the “Language Translation” feature. On a per login basis, this lets each user have the AccountMate screens display prompts and labels in their native language. AccountMate has pre-built “language packs” for English, French and Spanish, but if you need another language (Nihongo o hanashimasuka?) then it’s straightforward to build them as shown in this TechNote.
Also quick note that AccountMate will be e-mailing end-users directly with new product release notifications and, while I can’t give anything away before it’s officially announced, you can expect a major announcement in the coming weeks.
Finally, marathon training was challenging through the rough winter we had here in the cornfields, but “the hay is in the barn” as we say here in the Midwest and now I’m tapering for my fourth consecutive Boston Marathon on April 19th. Have started sketching out my running plans for the summer, but always like to see how my next major race turns out before I make a major commitment to the next event – so stay tuned!

Tech Note: How to Move AccountMate for SQL/Express to a Different Server
Clients often replace or upgrade their servers to improve performance, meet the requirements of the application software that runs on the server, avoid a catastrophic server failure, etc.
Doing so may require moving your AccountMate installation to a different server, which we’re happy to help with. But for those clients with a skilled IT department, this Technical Note enumerates the requirements that must be met to effectively move AccountMate 7 for SQL/Express to a new server and discusses two methods you can use to accomplish the move.

Tech Note: How to Perform Mass Mail Merge
Sending mails or e-mail messages is a common method for companies to stay in touch with their customers. Creating a customized letter or e-mail message for each customer will take hours; that is where mail merge comes in. AccountMate’s Mail Merge feature integrates with the Mail Merge functionality present in Microsoft Word versions 7 and newer to provide a simple, user-friendly and flexible way to create and print merged documents.
This Technical Note discusses the steps necessary for merging a Word document with the AccountMate database and provides, as an example, the procedure for setting up a merged collection letter.

Q: Another user created a report macro for the PR Check Register Report and set it as the System Default. When I printed the report, I noticed that the employee’s earning and deduction information is missing from the report. How do I resolve this?
A: Verify in the report criteria whether the “Bank # + Check #” or “GL Account ID” is selected in the Sort By option. Change the sorting and choose a sorting option other than the two mentioned. Next, verify that the Suppress Earning Details and/or Suppress Deduction Details checkboxes are marked. Unmark these checkboxes to include employee earning and/or deduction details in the report.

Q: I previously attached a supporting document to an AP invoice transaction. I want to attach the same file when I create a new AP invoice; however, I have deleted the file from my local folder. Is there a way for me to retrieve this file?
A: You can access documents previously attached to AP invoice transactions by performing the following:
- Launch the Administrator program.
- Access the Setup menu; then, select the Company Setup function. Select the company and click Edit in the Company Setup window.
- Click the Ellipsis button next to the Attachment Dir field in the Edit Company window. Note the directory where attachments are stored. Attachments to AP Invoice Transactions are stored in \\Attachments\apinvc\XXX_999 where “Attachments” is the attachment directory, XXX is the vendor number and 999 is the invoice number.
When you post a new AP invoice transaction, locate the file from the Attachments directory verified in step 3.

Q: I attempted to create invoices for several customers; however, I continually encountered the message “Order exceeds customer credit limit.” How do I get rid of this message?
A: You can perform either of the following to get rid of this message during Create Invoice:
- Access the Customer Maintenance function and go to the Settings tab. Increase the amount in the Credit Limit field.
- Mark the Allow to Exceed Credit Limit checkbox in the AR Module Setup -> General (1) tab. You can choose this option if you want to accommodate your customers when you create their invoices even if they have reached their credit limit.
