Free Period/Year/Payroll Closing Webinars

AccountMate is hosting FREE one-hour webinars in December on procedures for closing of fiscal periods, fiscal years, and payroll years.  We expect these to fill up quickly, so please respond promptly with your preferred dates/times if you’re interested.

Period-End Closing in AM 8 will be held on December 7 from 12-1 CST, covering the recommended procedures to close the period in the subsidiary modules.  It will also identify some common issues which may arise during the closing process and how to resolve them.

Closing the Payroll Tax Year in AM 8 will be held on December 8 from 12-1 CST and is specifically for closing the payroll tax year whether your fiscal year ends on December 31st or not.  Also discussed are the reports affected by the tax year closing process.

Fiscal Year-End Closing in AM 8 will be held on December 9 from 12-1 CST to discuss the requirements and procedures for closing the fiscal year.  Some tips to help effectively perform year end closing will also be discussed.

Tech Notes: AccountMate’s Bilingual Functionality

AccountMate comes with a bilingual feature that allows users to maintain dual remarks and descriptions (e.g., GL Account ID, inventory item, inventory type, inventory specification, unit of measurement, freight code, pay code, return code, miscellaneous code, etc.) that can be printed onto reports generated for foreign AccountMate users, customers, and vendors.

The following article discusses the procedures for activating and setting up the bilingual feature. It also enumerates the reports and functions that are enhanced in order to properly implement this feature.

Module: SO

Q: I have set up a credit limit for each customer record in AccountMate and want to implement certain policies when a customer reaches the credit limit. How do I restrict access to the Allow to Exceed Credit Limit settings? 

A: You can restrict access to the Allow to Exceed Credit Limit settings by not granting users the access right to the SO Module Setup function. To do this perform the following:

  1. Access the Administrator program.
  2. Select Setup  Security  Group/User Setup option.
  3. In the left grid select the user group that you want to restrict the SO Module Setup function; then, click Edit.
  4. In the Edit Group window select the company from the left side of the grid.
  5. In the right side of the grid locate the SO Module Setup entry; then, unmark the checkbox under the Access column.
  6. Click OK to save your changes.

Note: If you are using AM6.5 for LAN, you can locate the Group/User Setup option under the Setup menu in the Administrator program.

Q: When I enter an invoice in AP whose total matches that on a PO I created and click the Save button, I still get a warning message saying “This vendor is set for AP/PO Matching. The invoice amount is greater than the sum of the Matched Amt and Rev Landed Cost.” But the invoice amount is equal to the PO total and I can’t find where the Matched amount or Rev Landed cost are entered. What did I miss?

A: The warning message appeared because the invoice amount was greater than the amount in the Matched Amt and Rev Landed Cost fields. To match the invoice amount and purchase order (PO) total, you must access the Overwrite Matched Amount button, located adjacent the Matched Amt field. Depending on the AP/PO Matching By setting in your PO Module Setup  General (2) tab, you can match the PO total by Quantity or by Amount. If the setting is by Quantity, enter the invoiced quantities in the Match Qty column; however, if the setting is by Amount, enter the invoiced amount in the Match Amt column. Click the OK button to save your entries in the grid and return to the AP Invoice Transactions function window. To reverse the accrued Landed cost, you must access the Overwrite Reverse Accrued Landed Cost button, located adjacent the Rev Landed Cost field. Enter in the Reverse Amt field the portion of the landed cost accrual that you want to reverse. Click the OK button to save your entries in the grid and return to the AP Invoice Transactions function window.

TIP: We have enhanced the Payroll Tax Deposit – Federal 941 function in AccountMate 8.2 for SQL and Express by adding fields where authorized users can enter the employer FICA and Medicare taxes due on unreported employee tips. Enter in the new fields the taxes that are due on unreported tips as specified in Section 3121(q) Notice and Demand. This enhancement is designed to facilitate compliance with the requirements for filing Form 941-Employer’s Quarterly Federal Tax Return.

Module: AP

Q: I printed the Accounts Payable Past Due Aging report and I found on it an invoice that I voided. Why does this invoice show on the Past Due Aging report?

A: If the date you are using on the Past Due Aging report is earlier than the void date you used when you voided the invoice, the voided invoice must continue to show. The Past Due Aging report with a date later than the invoice void date will omit the invoice.
