Meet Your Company’s Affordable Care Act (ACA) Reporting Requirements More Easily
The Affordable Care Act (ACA) added section 6056 to the Internal Revenue Code which requires applicable large employers (with 50 or more full time employees or Full Time Equivalents) to file IRS forms 1095-C/1094-C on the health insurance coverage the employer offered. Small employers with fewer than 50 employees and self-insured must file returns (section 6055) and generally will use forms 1095-B/1094-B. These reporting requirements are effective in 2015 and the forms must be filed on or before February 29, 2016 (or March 31, 2016 if filing electronically).
AccountMate, in partnership with Aatrix, will provide the functionality you need to comply with the Affordable Care Act (ACA) reporting. We will be supporting forms 1095-B/1094-B and 1095-C/1094-C to fulfill the end of the year reporting requirements. AccountMate will provide the data entry interface and Aatrix will provide the reporting and filing requirements.
This capability will be added to the Payroll module at no charge for clients who have Lifecycle Maintenance. For clients without Lifecycle Maintenance, this capability will be an extra-charge option.

Q: We have an existing inventory item that we no longer use. How can I remove the item from our inventory records?
A: You cannot remove the item from your current inventory. You may move the item to historical inventory by archiving it. To do this, perform the following:
1. Verify that the following conditions are met:
The inventory item must not have any outstanding quantities (i.e., interim, on-order, in-transit, in-process, allocated, defective, on-hand or booked quantities).
The inventory item must not have any current activity in any module (e.g., if a transaction is posted for the item in the Accounts Receivable and Inventory Control modules for the period January 2015; then, the period January 2105 must be closed in both modules).
2. Click the Delete button in the Inventory Maintenance function.
Note: Archived items are not displayed in the Item # Search windows.

Q: How can I use my prepayments to pay other posted Accounts Payable invoices?
A: Before you apply your prepayments against other AP invoices, you have to ensure that the prepayment invoice is already paid. Once paid, go to the AP Invoice Transactions ► Amend AP Invoice function and do the following:
1. Access the AP invoice to which you want to apply the prepayment.
2. Click the Apply Prepay button next to the Apply Prepaid field to display the Apply Prepayment for Vendor window.
3. Select the invoice # and enter in the Apply Amt field the amount you want to apply.
4. Click OK to return to the AP Invoice Transactions window.
5. Click Save.

Q: How is an inventory item’s Available Qty (Quantity) calculated?
A: An inventory item’s Available Qty is calculated by subtracting the Allocated Qty and the Booked Qty from the On-hand Qty. Allocated Qty is the number of units of the component inventory items that are allocated to manufacture a parent item. Booked Qty is the number of units of the inventory items ordered by customers (new or replacement orders) but not yet shipped or not cancelled. The quantities displayed in the Inventory Maintenance ► Information tab are sorted by Warehouse.
Note: In AccountMate 8.1 for LAN and lower versions, an inventory item’s Available Qty is calculated by subtracting only the Booked Qty from the On-hand Qty.

TIP: You can access the files attached to sales invoices by performing these steps:
1. Open the Create Invoice function.
2. Click the AR Invoice # Attachment icon (paper clip) to display the View/Purge AR Invoice # Attachment window, which lists all the AR invoice attachments saved in AccountMate.
3. Select the invoice record from the list; then, double-click it or click the View button to open its attachment.
