Dear AccountMate Clients,
AccountMate SQL and SQL/Express V9.4 has just been released and the New Features Webinar has been scheduled for Thursday, April 7th at noon CDT.
Hit this link to register for the one hour webinar which will discuss all the new features, but here’s a list of a few of them: Optional limits to payroll leave hour accrual and ability to edit carry over hours, Improved GL budget-related statements, Flexibility in Manufacturing BOM to use “steps” and have a component included multiple times, AP Invoices may be entered for less than the AP/PO matching amount, and – yes – lots more!
If you’re currently running AccountMate SQL or SQL/Express and have an active Lifecycle Maintenance plan, then remember you receive the new version of the software as one of the benefits of that plan – however installation, configuration, and porting forward your existing data and modifications is a billable event. Of course we provide free not-to-exceed hours quotes for upgrading your system, so please contact us for that information and to get on what we’re sure will be a very full upgrade schedule over the next few months.

Re: Closing
TIP #1
Q: Each year the Fiscal Year Closing process forces me to spend a large amount of time closing each module from the first period of my fiscal year through the last period of my fiscal year before I can perform Fiscal Year Closing. What can I do to speed up the process?
A: The best way to ensure a quick yet accurate fiscal year closing is to ensure that your non General Ledger (GL) modules are closed near the end of each fiscal period. Example: If your fiscal year coincides with the calendar year, once all the transactions for the month of January are completed you should perform Period End Closing for that month. In our example, once the month of December is ready to close, you must close all the non GL modules into the new fiscal year before you perform Fiscal Year Closing in the GL module.
TIP #2
Q: I closed the last period of the fiscal year in my Accounts Receivable (AR) module but I am not ready to close my Accounts Payable (AP) and Bank Reconciliation (BR) modules. When I attempt to post an AR invoice I get a message stating: “Cannot continue with this function. General Ledger is in a different year.” How can I resolve this?
A: All AccountMate modules must be in the same fiscal year. To resolve this, close all the non GL modules into the new fiscal year then close the fiscal year in the GL. AccountMate will allow you to post transactions back to the prior fiscal year if necessary; just be sure that there is not a restriction on the posting period into which you will post the transactions.
TIP #3
It is not necessary for you to have received the accountant’s correcting entries before you close the fiscal year. AccountMate makes 3 years available for posting – one year prior to the current year, the current year and one year future to the current year. Example: Your current fiscal year is a calendar year, is currently in 2016, and your accountant provides you with correcting entries for the 6th month (June) of 2015. You may post a Standard JE and date it to fall in the June 2015 fiscal period.
