AccountMate/SQL clients on LifeCycle Software Assurance will be automatically receiving the new version in the mail soon – and we recommend you contact us as soon as it’s received so we can discuss your specific implementation details.

I hope our AccountMate/LAN clients tune in to the webinar as functionality released for the AccountMate/SQL product often appears in the next version of AccountMate/LAN.

And for our clients not on LifeCycle, it would be worthwhile to get a free peak at the latest version to see how it can improve your business processes.

On the running front, had a great 5K on June 5th – coming in second out of nearly 200 runners, beat only by a 17 year old kid fresh off his high school spring track training.  I’m comforted by the fact that he only beat me by only 20 seconds, and that I’m five years older than his dad! <grin>  On the not-good-news front, have postponed my 240 mile Trans-Illinois run due to plantar fasciitis (painful tendons in the arch of the foot), which I’m recovering from now.

Payroll Update for Hiring Incentives to Restore Employment (HIRE) Act

We’ll be contacting each of our AccountMate Payroll clients soonest as an update for the HIRE Act Payroll Tax Exemption Form has has just been released.  Simply put, the HIRE Act, signed into law on 18 March, allows employers who hire certain unemployed workers this year (after 3 Feb 2010 and before 1 Jan 2011) to qualify for a 6.2 percent payroll tax incentive – in effect exempting the employer from the employer’s share of social security tax withholding.  For additional information, please see the following links: http://www.webcpa.com/news/IRS-Releases-HIRE-Act-Payroll-Tax-Exemption-Form-53826-1.html and check the IRS website for the most current payroll tax exemption info.

Tech Note: Understanding the Electronic Payment Feature in PR and AP

An electronic payment is safe, secure, convenient, efficient, and an inexpensive payment method as an alternative to sending checks through the mail. Paperless transactions are not only good for the environment but also lower the costs for your businesses as you eliminate costs of paper, late fees, and postage and reduce the check handling risks. With all these benefits, it’s no wonder that the use of electronic payments is on the rise.

AccountMate is designed to meet paperless payment innovation requirements. It is enhanced to provide electronic payment transaction processes using National Payment Corporation (NPC) and Automated Clearing House (ACH). This Technical Note discusses how to use the electronic payment feature in Payroll and Accounts Payable. It also lists the available electronic payment reports.

Tech Note: Understanding the Recalculate Employee Data Feature in SQL Payroll

In most cases, employee data inconsistencies can be resolved by recalculation of employee data. AccountMate’s Recalculate Employee Data feature comes in handy to help correct the employee data inconsistencies. This TechNote discusses the conditions that necessitate employee data recalculation, the requirements that must be met prior to performing recalculation, and the proper recalculation procedures. It also enumerates the AccountMate tables that are validated and updated during recalculation and the most common issues that cause the recalculation to fail.

Q: I need to recalculate finance charges for a customer’s invoices. I have verified that the finance charge settings in AR Module Setup are correct, the Apply Finance Charge checkbox is marked in the customer record and finally, I marked the Eligible for Finance Charges checkbox in the pay code assigned to the invoice. When I attempted to apply finance charges, I encountered the message “No invoice in the selected criteria is eligible for finance charge.” What did I miss?

A: The customer’s AR invoices to which you want to apply finance charges may have been created before the assigned pay code was set for finance charge eligibility. Since you have just marked the Eligible for Finance Charges checkbox in the assigned pay code; then, this new setting will apply only to newly created invoices. You must void; then, recreate the invoices created before the pay code was set for finance charge eligibility if you want to calculate finance charges to these invoices.

Q: An existing user in a Group is given access rights to a new company created in AccountMate; however, the other users in the same Group can also access the new company. How do I assign rights to the user without allowing the other users in the Group access to the new company?

A: Perform the following procedures:

  1. Access the AccountMate Administrator program.
  2. Access Security from the Setup menu; then, click Group/User Setup.
  3. Add a Group; then in each company, select the functions to which the user has access rights.
  4. Click OK to save the changes.
  5. Add a User to the recently created Group; then in each company, select the features to which the user has access rights.
  6. Click OK to save the changes.
  7. Delete the user from the Group to which the user previously belonged.

Note: In AccountMate 6.5, you can access Group/User Setup from the Setup menu.
