We’ve all heard the old adage “If it ain’t broke, don’t fix it”.   Unfortunately that all too easily becomes “If it kinda works, don’t fix it”, and there is a BIG difference between something that “ain’t broke” and something that could work much better.

Consider a business process that that takes only ten minutes a day to perform.  That’s not much time, is it?  Hold on a second while I do some math…  that’s fifty minutes in a week or… More than a 40-hour work week over the course of a year – so even minor productivity improvements become big over time.

One of the phrases clients often hear me say is, “If you’re working hard, you’re screwing up – the computers work for us – at least until The Singularity!” and many of the processes we automate with AccountMate native functionality or customization take more time than ten minutes a day, so add up to significant time/money savings.

Here’s a list of some things that, if you’re doing these manually then you’re (probably) screwing up! <grin>

  • Manually entering Sales Orders from external systems, such as your webstore or EDI feed
  • Typing in Payroll time card hours
  • Processing customer credit card payments outside AccountMate
  • Entering vendor or employee electronic payment information on your bank’s website
  • Keying physical inventory count
  • Almost anything involving an Excel spreadsheet
  •  Entering information manually in both AccountMate and your shipping software from FedEx, UPS, etc.
  • Typing in inventory warehouse/bin movement transactions
  • Creating product labels

So how many on the list do you still do manually?  Sure, the process works now – but we can, and have, automated all of themallowing business to scale up in size or broaden their product/service offerings.

TIP: You can change the default Subject line when you e-mail any AccountMate report, in the Report Export/Email Setup function found in your AccountMate System bar. For example, if you want the phrase, “Invoice [xxx]”, to display in the Subject line, the following must be done:
1. Access the Report Export/Email Setup function.
2. Select a particular report.
3. Enter “Invoice” in the Subject Line ► Individual field.
4. Press F8 to display the “<KeyValue>” (i.e., Invoice #) in the Individual field.
5. Click OK.

Q: I need to correct the leave balance hours for a particular paid leave code. The problem is that nearly all employee records are affected. Is there any function in AccountMate that I can use to mass update the leave hour balance for each employee record?

A: You can use the Convert/Adjust Unused Paid Leave function under the Transaction menu. This function will allow you to perform the leave hour adjustment for each leave code assigned to the employee record. To adjust the paid leave hour values, perform the following:
1. Access the Convert/Adjust Unused Paid Leave function.
2. In the Leave Code criterion enter the paid leave code that needs to be adjusted.
3. Leave the Transfer to General Ledger checkbox marked if you want AccountMate to create journal entries to be posted to the General Ledger; otherwise, unmark the checkbox. If the Transfer to General Ledger checkbox is marked, you must enter a transaction description in the Remark field for the journal entries that will be created.
4. In the Earning Code field enter the earning code you want to assign to the additional payment record that will be created by this transaction.
5. Accept or change the default Posting Date information; then, click the OK button.
6. In the Convert/Adjust Unused Paid Leave grid verify that the assigned value in the Adjust column is Adjust Hours.
7. Enter the number of hour adjustment in the Hrs column.
8. Click the Convert button; then, click the Yes button when asked to save your changes.

TIP: In the Batch Period-End Closing ► Batch Period-End Closing Scheduler window, the hours and minutes value provided in the Schedule After: field represents the time that will elapse before AccountMate will perform the batch closing process. If, for example, at 5:00 PM on Friday you enter 30:00 in the field, AccountMate will start the closing process at 11:00 PM on Saturday.
