Dear AccountMate Clients;

It’s finally ready.

In March, we gave you a sneak peek of the over 200 new features slated to be included in the new version of AccountMate.  Beta testing has completed, final tweaks have been made, the CDs have been released to manufacturing, and the final version will ship by the end of the month.

As with all new releases, we plan to implement AccountMate 7.1 for SQL in-house as soon it’s released.  We’ve been participating in the beta program and have had multiple staff members in training on the new version, but there’s nothing that beats “learning by doing” – when we’ll be effecting actual transactions in the system.  Once we have “blazed the trail,” we’ll contact you regarding plans to move your system forward.

In the meantime, read on for details on the new features included that we’ve dubbed the most exciting.  Be sure to confirm if you’re one of the “lucky ones” who need to go stand by the mailbox for your copy of AccountMate 7.1 for SQL!

Features and Enhancements: AccountMate 7.1 for SQL

As we’ve said before, we are blown away by the many enhancements in this new version, but more importantly, this clearly demonstrates AccountMate’s commitment to developing the product as the needs of businesses change and grow.

If you prefer a “laundry list” of new features, download the feature comparison (7 MB PDF) comparing the new version to AccountMate 6.5 for SQL by module.  However, we’d rather give you a short preview of our favorites.

System Enhancements

  • Ability to attach files (images, documents, etc.) to each transaction or maintenance record
  • All fields support up to 4 decimal places
  • Multi-level translation engine (from the international version), meaning that you can put the field names in your own language, be it French, Spanish or even industry-specific terminology.
  • Schedule transfer to GL for each module as well as period-end closing, complete with error reporting.  So, instead of having to wait for everyone to be out of the system, these processes can be scheduled to run off-hours.
  • The ability to copy and paste between Excel and AccountMate grids.  You can create and edit GL batches and move the entire batch – at once – into AccountMate for posting.

“Beefed Up” Security

  • Ability to generate Positive Pay files to be sent to banks for fraud protection
  • Additional password complexity settings for Sarbanes-Oxley compliance
  • Password maintenance features, including password expiration, disallowing the re-use of old passwords, tracking of invalid logon attempts, forcing (and/or preventing) users from changing their password upon login

Revamped Payroll Module

While the Payroll module has historically lagged in features, this new version is as rich, flexible and feature-laden as the rest of the modules in AccountMate.  Entirely rewritten, this version also interfaces to both SQL 7.1 and an upcoming build of LAN 6.5.  New features include:

  • Multi-tiered tracking and calculating of paid leave accrual (vacation, sick, personal time)
  • Native ability to create standard ACH files for direct deposit
  • New check layout to print detailed earnings, deductions, tax information, leave accruals, piece work, and other information
  • Pay employees at multiple rates under multiple earning codes on a single check.
  • Native option to print MICR code, signature, and your company logo on blank check stock.

New UpSell Management Module

This new module was developed to help your sales force effortlessly master the art of upselling.  It streamlines your ability to maintain a list of “upsell or accessory items” for each inventory record.  The UpSell Management Module will allow a salesperson to quickly and effortlessly quote the correct accessory items, pricing and current availability with the click of a button.

By linking the accessory items by each inventory item, you can remove the need for guess work, cross reference charts, and clumsy notebooks, letting your salespeople focus on selling the best possible products.

The UpSell module includes an additional item notes feature, useful for reference information, special instructions, or even a call script to insist a salesperson unfamiliar with nuances of a particular item.

Are You Getting a Copy?

If you are running AccountMate 6.5 for SQL and have an active LifeCycle Maintenance plan,  you will be receiving a free copy of the new version.  Even if you do not plan to upgrade immediately (and we recommend that you wait for us to test it in-house!), please keep it in a safe place.

Unlike previous versions and builds, you will receive two CDs in your shipment.  One is the program CD and the other contains your unique license file.  Both are needed for installation, so keep them under lock and key!

If you are running AccountMate 6.5 for SQL and have an active Standard Maintenance plan, you are entitled to the new version at a 65% discount.  We’ll be contacting you once we begin moving our clients forward to plan your move and coordinate your budget.

You’re Famous!

The NexLAN/AccountMate NewsLine was recently spotlighted in an article about the benefits of producing eNewsletters in Accounting Technology.

While it’s certainly not a unique practice in the technology industry, the majority of accounting VARs have no equivalent publication.

Humbly speaking, we think we do a pretty good job of communicating with you in many formats, including these NewsLines.

We thank you for reading and, as always, we appreciate any feedback – positive or negative – that you can provide.  (How do you like our new look?  We designed it to match the new look of the AccountMate documentation.)
