Dear AccountMate Clients,

I was out of the office quite a bit during October – first for my trot across Illinois (http://kestrou.com/transillinois), then to the AccountMate Business Partner conference, and finally for a long weekend re-union with some officemates from more than 20 years ago in my days with NSA (shhh! National Security Agency).

While the first and third trips were each relaxing in their own way, attending a business conference is always such a flurry of activity that I don’t characterize it as “relaxing”.  I always enjoy the AccountMate Business Partner conference, though, because of the opportunity to get a preview of the upcoming AccountMate corporate plans and product direction, exchange ideas on how to provide better support to our clients, and exposure to new and improved value-add vertical solutions.

That’s certainly one kind of Business Intelligence, but while there I had the opportunity to really get into the latest version of the ClickBase for AccountMate – which puts your LIVE data at your fingertips in reports, graphs, dashboards, interactive spreadsheets or a configurable web portal.

Do you know what the most common task request we get is?  Write reports, or otherwise pull data out for clients analysis.  Since this is service billed by the hour, I’m sure there are numerous occasions where clients aren’t sure it’s cost effective to even “ask the questions” in a particular situation – so they don’t – and that’s a crying shame.  It’s your data, and it really doesn’t (or at least SHOULDN’T) require a geek to be able to look at it from whatever angle you’d like!

Tech Note: Correcting Unmatched PO and Unreversed Accrued Received Goods on Paid Invoices in MS7.5 and Higher

Some companies want to match purchases to AP invoices but do not want to accrue liability at the time the items are received; some want otherwise. Starting in AccountMate 7.5 for SQL and Express, the AP/PO Matching feature is enhanced to provide users the option either to match PO receipts and accrual of received goods or to match PO receipts without accrual of received goods. Sometimes users may forget to match PO receipts against AP invoices, thereby increasing the risk of posting multiple AP invoices for the same PO receipt. If liability is accrued at the time the goods are received, this must be reversed when the AP invoice is posted; however, some users may forget to reverse this accrual when posting the AP invoice. This may result in overstated liability and inventory GL Account ID balances.

Q: I don’t want to see the Printed By information in printed sales order and purchase order forms. How can I exclude this information?

A: To exclude the Printed By information on printed sales orders and purchase orders, perform the following:
Access the Print Sales Order/Print Purchase Order function from the Reports menu.
In the Report Interface, unmark the Include Printed By checkbox in the Report Header area.

Q: I want to know the users who accessed AccountMate and the activities performed by each user. Is there an activity log where I can view user activity?

A: Yes, there is an activity log to view user activity, but you must first activate the Track User Access feature for each user in the AccountMate Administrator program’s Group/User Setup function. You must mark the Track User Access checkbox so the system can keep a log of the date and length of time when the user accesses AccountMate as well as the names of the companies, functions and features that the user accesses. This information will then be stored in the User Access Log. To view the User Access Log, click the View button next to the Track User Access checkbox.
