Wouldn’t it be great if you could see what’s coming as you approach each month-end closing? Instead of holding your breath as you close each period, hoping that all transactions are hitting correctly, wouldn’t you like to be able to see into the future?
AccountMate has a truly unique feature, soft posting, which allows you to post sub-modules to GL and review the financial statements at any time throughout the month. You can soft post by choosing Housekeeping > Transfer to GL.
While soft posting will reflect activity to GL, the source transactions are still editable. After soft posting, you can review the source transactions, make any necessary changes, then repeat soft posting to GL to ensure that the adjustments are correct. Each time you soft post, the prior entries are overwritten from that module.
At month end, when you close the period it is called a hard post. These entries overwrite any previous soft posts as they post to GL and lock the transactions from being edited.
There is simply no harm in soft posting. We strongly recommend that you soft post during the month early and often. Review the GL entries and confirm that transactions are hitting correctly.
By soft posting, you stop watching where you’ve been through your rear view mirror and start looking through the windshield at what’s ahead.

Payroll Tax Update: Form 941
If you run payroll and purchased a Payroll Tax Subscription this year, you should have received an email last Thursday with an update to Form 941.
If you have not yet installed the update, please contact us. We are happy to guide you through the process or quickly implement the update for you.
Remember, in order to properly align AccountMate’s 2005 Form 941 Quarterly Tax Return with the IRS internet form, you must do the following when using these versions of Adobe Acrobat:
- For Acrobat 6: Set Page Scaling to the option “None” before printing the form.
- For Acrobat 5: Unmark the checkbox “Shrink Oversized Pages to Paper Size” before printing the form.
SQL Build 606
AccountMate clients on a current support plan who are running AM/SQL should have already received the latest build – AM/SQL Build 606.
With the CD, you should have received a Product Release Bulletin, which details the fixes and added features of the new build, including:
- New “My AccountMate Help” group in the Shortcut Pane
- New Hotkey: <ALT> + <F4> to exit AccountMate
- Sample Data updated to 2005 FY
- Negative deposits allowed in BR and AR
- User-defined description for AR bank deposit
- Sortable grid information in BR
- Voiding allowed on AP invoice posted in a restricted period
- Define discount rate during PO creation
- Use arrow keys to add line items (PO)

- When I use the Build Kit Items Feature to build serialized/lot-controlled kit items the Assign Serial Number to Build Kit Items and Assign Lot number to Build Kit Items checkboxes are grayed out. How do I enable these checkboxes?
- Set the Assign Serial # When Building Kit Items and Assign Lot # When Building Kit Items sections under the General tab of the IC Module Setup to “Prompt for Assignment”.

- The Date Range fields for the fiscal year in the Fiscal Period Table Setup function are read-only. Where do I define the Begin and End dates for my fiscal year?
- Fiscal year date ranges are dependent upon the value you entered in the First Day of the Fiscal Year field in the Add Company function when you created the company; and the system computes the end date based on this value. These values provide the fiscal year date ranges in the Fiscal Period Table Setup function.

- How can I generate a graphical representation of a specific customer’s monthly sales comparison?
- Perform the following procedure:
- Access the Customer Maintenance record.
- In the Analysis tab, select the Monthly Comparison type and define the necessary criteria and transaction dates.
- Click the Generate button to display the Monthly Comparison window. The default display is the tabular presentation of the monthly sales.
- Click the Graph button at the lower part of the window to change this to a graphical presentation.
You may then select the display type and choose to either print or copy the graph.

- I attempted to manually apply payment by vendor to an outstanding AP invoice. Why does the invoice I want to pay not appear even though I enter the correct vendor number?
- An outstanding invoice is not available for payment if it has been put on hold. Access the Post AP Invoice function and amend the invoice. Verify whether the Hold Payment checkbox has a check mark; if it does, remove it then proceed to apply payment.
