AccountMate’s Business Partner conference is coming up in just a little more than a month, where we do all the typical conference stuff of hearing about new product development, training in the latest version, and being introduced to third party applications that enhance and extend functionality in key ways. One of the highlights of the trip, though, is towards the end of the conference when we have a session where the AccountMate staff has compiled a list of the submitted enhancement requests – and all the Business Partners in attendance get to “vote” to help prioritize them.

I’m not aware of any other mid-tier financial management vendor that allows such direct feedback to product development, thus making the feature set so responsive to the ever-evolving needs of the user base. This process is what drove many of the enhancements in V8.1 (such as the ability to select non-sequential ranges in report criteria) and will be driving future releases, so I’d like to request your input on what features you’d like to see added to the product.

The deadline for us to submit enhancement requests and get them into the compiled list for consideration is Friday, August 10th and I encourage your suggestions before then so we can forward them on for inclusion in this process. Certainly submissions are appreciated other times, and are regularly added to the list, but this is the prime opportunity and we’ve seen great success with this system over the last three conferences and wanted to take this opportunity to solicit your input.

Get the Latest Payroll Tax Forms!

As users of AccountMate’s Payroll module are aware, payroll tax reporting and filing are handled by the integration of products from Aatrix.

Recently, an update was released by both parties, which automatically downloads and installs for the Aatrix portion. So if you’re getting errors when running your quarterly Federal 941, such as ‘Variable W2FORMS is not found’ or ‘Variable CATEGORY is not found’, then the AccountMate portion needs to be updated also.

The updated routine is provided as part of your Payroll Tax Subscription, and installation may be performed by your staff or by NexLAN (which would be a billable event).

Application Improvements Released

Application improvements are regularly released, but we’ve honestly wrestled with the best means of notifying you about them. Since many installations are customized, installation sometimes requires integration of the updates with customizations already in place; and many issues being addressed occur only in very narrow circumstances (such as when multi-currency is configured, or other such esoteric conditions) so we’re hesitant to make everyone think every patch even has to be installed.

So, with those caveats, we’d like to make you aware that AccountMate has recently released program amendments to address the following possible issues in AM SQL/Express 8. These application improvements are available to clients with an active AccountMate Software Maintenance Plan and we’re happy to provide them to you directly, or to install/integrate them (which would be a billable event).

Problem: Data Corruption: Deleting an employee results in “ODBC 8134: Divide by zero error encountered.” error.

Problem: Data Corruption: The dterminate field for all employees is populated with the terminated employee’s termination date.

Service Pack 1 for AM7.4 for LAN Now Available

In the past several months, AccountMate has been releasing improvements to correct some issues that were reported for AM 7.4. In order to minimize the time neccessary to apply multiple improvements as seperate fixes and provide a simpler way to install the patches, AccountMate has released AccountMate 7.4 for LAN (Service Pack 1).

Tech Notes: Tips for Purging Transactions

AccountMate provides an option to purge or delete historical transactions during period-end closing or fiscal year-end closing. Purging is usually performed to reduce the AccountMate database sizes and to free up valuable disk space for better system responsiveness, faster speed, and prevention of data corruption. The purging process involves permanent, irreversible deletion of history records; thus, users must fully understand its repercussions and must be well prepared prior to performing the process.

Tip: You can post transactions using a date that falls in a closed period; however, you can only use dates that fall in a period no earlier than the fiscal year immediately prior to the current fiscal year. Be sure that the transaction date falls in a period that is not restricted for posting. If you transfer data to the General Ledger (GL), the transaction will temporarily update GL account balances based on the transaction date. These transactions will permanently be posted to GL only when you close the current period in the associated module.

Tip: The default sales tax code used when you create a purchase order by vendor is the sales tax code assigned to the warehouse code that is entered in the Create Purchase Order by Vendor ► Information tab ► Warehouse field. You can assign a sales tax to the warehouse record in the Warehouse Maintenance ► Sales Tax field.

Q: I want to include a remark on a computer check for a vendor. How do I do this in AccountMate?

A: Perform the following:

  • Access the Vendor record in Vendor Maintenance.
  • In the Settings tab, enter in the Check Memo field the remark that you wish to print on the check.
  • Click Save to save your changes.
  • Print the computer check.
