Dear AccountMate Clients:

I chatted with a client just a few days ago that wanted to know if we could modify the Accounts Payable invoice entry portion of AccountMate so they could attach images of the vendor invoices they scan in. Imagine their surprise when I told them, “That’s already built in to Version 7.X – which you’re running!”

Actually, you can attach multiple files (images, Excel spreadsheets, Word documents, etc.) to many records inside AccountMate – including Customers, Vendors, AP Invoices, AR Invoices, Sales Orders, and Purchase Orders – and the system even keeps track of who made the attachment and when it was made.

I understand completely that it’s easy to lose track of all the new features that have been added to AccountMate, I even do it myself, which is why we’re always sending out lists of what the new features are.

But that’s just an example of how you never know what little thing will be the one that makes someone’s day – and often they don’t even know it themselves until it happens to come up.  So, if you’re not running the latest version, contact us for a complete list of the new functionality since your current version and we just might make your day!

Here at NexLAN, our day got made last Friday when we were named one of the “Select 100 Technology Pacesetters” by Accounting Technology for the third year in a row.  This national publication annually identifies the leading accounting and business financial management technology partners and it’s a great honor to be named to this elite list just once.  So how do we stay on the list three years running?  It’s “the little things”, such as keeping clients in the loop via this regular NewsLine and being on top of new build and version updates, but it’s also “the big things” like bringing in projects on time and on budget.

Finally, for those of you new to the NewsLine, I’m an avid runner and in training for my next Boston Marathon in April.  So this past weekend I ran the Tecumseh Trail Marathon in Bloomington, Indiana and had a great time.  The trail was very hilly and the weather wasn’t great, 21 degrees at the start with wind and freezing rain through much of the day, but I enjoyed it immensely and finished 80th out of 500 runners while taking it as an easy training run.  Running trails is a a very visceral way to enjoy the change of seasons, and hope you take the opportunity to try it – even in a small dose.

2008 Payroll Tax Subscription

The 2008 Payroll Updates are not yet available from AccountMate for download.  When AccountMate notifies us that they are ready, we’ll send emails to everyone who ordered with download details and instructions.

You are welcome to perform the update yourself, however about 90% of our clients prefer to have NexLAN handle the process.  If you’re not “feeling geek,” please contact us and we’ll schedule time to implement the updates in your system.

Remember: The update must be installed after the last payroll run of 2007, and after performing the month- and year-end closing, but before the first payroll run of 2008!

Finally, since AccountMate 6.5 and earlier versions don’t maintain transactional payroll detail for the prior year*, we recommend creating an additional “company” specifically to hold your 2007 payroll data.  By copying data into this “dummy” company, you can close the year in your actual company without losing access to the details of your prior year’s payroll.

*However, AccountMate SQL 7.X does maintain historical payroll detail for prior years!


Free Period/Tax/Year End Closing Webinars

AccountMate is hosting FREE webinars in December on procedures for closing of fiscal periods, tax years, and fiscal years.  We expect these to fill up quickly, so please respond promptly with your preferred dates/times if you’re interested.

Period-End Closing in AM 7 will be held on December 10 and 11 from 10-11 PST, covering the recommended procedures to close the period in the subsidiary modules.  It will also identify some common issues which may arise during the closing process and how to resolve them.

Closing the Tax Year in AM 7 will be held on December 12 and 14 from 10-11 PST and is specifically for closing the payroll tax year when the company’s fiscal year does or does not end on December 31.  Also discussed are the reports affected by the tax year closing process.

Year-End Closing in AM 7 will be held on December 18 and 19 from 10-11 PST to discuss the requirements and procedures for closing the fiscal year.  Some tips to help effectively perform year end closing will also be discussed.

Understanding Effects of Un-Invoiced SO Shipments

AccountMate users enjoy a lot of flexibility when processing different kinds of transactions. One such transaction is the shipment of customer orders. Users can choose to either generate an invoice each time a customer order is shipped or they can wait to consolidate multiple shipments for the same customer into a single invoice. The timing in which SO shipments are invoiced affects how the system updates the company’s GL Account balances. It is this which is the subject of today’s technical note. Q: How do I set up a vendor for electronic payment?

A: To set up a vendor for electronic payment, perform the following:

  1. In AP Module Setup, verify that the Electronic Payment checkbox in the General 2 tab is marked.
  2. Access the Vendor Maintenance function and mark the Electronic Payment checkbox in the Settings tab of the vendor record.
  3. Be sure to select “Require Prenotification” in the Prenote Status field and leave the Last Prenote Date field blank.
  4. Fill-out the necessary information in the Electronic Payment Setup window.
  5. Once done, save the changes by clicking the Update button.
  6. Access the Generate Prenotes option from the Process Electronic Payment function in the Transactions menu.
  7. Enter the Bank # for which you want to generate prenotes.
  8. Select the vendor that you have set up for electronic payment; then, click the Generate button.
  9. Once you’ve received confirmation from your bank that the prenote meets their requirements, run the Activate Vendors for Electronic Payment function.
  10. Enter the date when you generated the prenote for the vendor that you had set up for electronic payment and then click the Activate button.

Q: How do I un-archive an archived inventory item?

A: Access Inventory maintenance. Click the Archived Inventories Lookup beside the Item# Lookup button. In the Archived Item# Search window, select the particular inventory you want to un-archive and then click the OK button.

Q: I created and shipped a sales order; then I generated an invoice for a newly created customer record; however, when I verify the Year-to-Date sales balance of the customer, it still has a zero balance. Why?

A: When the new customer record was created, it was assigned a default YTD Start Date which may be prior to or later than the year in which the transaction date falls. The default YTD is taken from the YTD setup in the SO Module setup. To update this, change the YTD Start Date in the Settings tab of the Customer maintenance record and then click “Yes” when asked to “Recalculate YTD sales amount?”
