Dear AccountMate Clients,
I write lots of NewsLines extolling the virtues of adding functionality to your Accountmate system to better manage your business, but I recently read an article regarding CRM (Customer Relationship Management) and the need to embrace it as an organization – or not fully support it and fail miserably – and it has important implications which I’d like to share.
The article notes that no matter which CRM system customers are using, there are the usual complaints and grumblings to which the author basically says, “Too bad!” If sales people and anyone else using the system don’t enter the data every time or know which reports will give the most management value, then the system will fail…. and it won’t be the systems’ fault.
It lists three critical components: First is a clear definition by management of the key reports (such as the pipeline of open quotes, recent activities, lost sales, etc.) which need to be regularly automatically generated so that people keep on top of activities and results. Second is a strong CRM “champion” that knows the system inside and out. Finally is the mandate that EVERYONE enter the data necessary to track what they’re doing.
The article goes into great detail about that last point, one you rarely hear consultants raise: the ‘Tough Love’ leadership approach required to make CRM – or any system implementation – succcessful. Simply put, employees required to enter the data do it or they are gone – get rid of those whimpering and objectionable employees who aren’t taking their company’s well-being to heart. CRM is a viable part of being able to mine valuable information and if the process isn’t valued consistently, then no system will ever succeed.

Tech Notes: Understanding the Paid Leave Code Feature
AccountMate’s Paid Leave feature provides you the flexibility to set up unlimited paid leave records for vacation, sick, personal or any other paid leave benefits that a company offers its employees. Paid leave for qualified employees can be accrued either at the start of the year or each time payroll is processed. Recording used leave time automatically reduces the employee’s accrued leave hours and accrued leave balance. This feature also allows recording of unused leave time cash conversion or adjustment.

Q: Why is the C.C. Payment button disabled in the AP Invoice Transactions ► Post AP Invoice window?
A: The C.C. Payment button is disabled if any of the following conditions exist:
- The AP invoice is fully applied for payment.
- The vendor’s currency is not the same as the home currency.
- The user who accessed the AP Invoice Transactions function belongs to Group that does not have the right to post credit card payments.

Tip: AccountMate 8.1 for LAN adds a new feature that enables authorized users to view the sub-assembly components and the parent item’s components in the Bill of Materials Detail Analysis window. To view the sub-assembly information, simply click the B.O.M. button in the inventory item record to display the Bill of Materials for Item # [xxx] window; then, click the Explode button to display the Explosion for Parent Item # [xxx] window. You can also export the list of components on the grid to an Excel file. To do this, right-click on the grid then select the option Export Grid to Excel.

Q: I usually email individual sales orders or purchase orders to my customers and vendors. Can I set AccountMate to automatically display in the email’s subject line the following information: my company name, the characters SO # or PO # plus the SO or PO numbers and the word “attached”?
A: You can use the Report Export/Email Setup function to set up the subject line you desire to appear on e-mailing-mailed reports. To include the desired information as stated above, perform the following for both Print Sales Order and Print Purchase Order reports:
- Access the Report Export/Email Setup function from the System Bar ► Report Setup Options icon; then, select the report (i.e., Print Sales Order or Print Purchase Order).
- Place the cursor in the Subject Line ► Individual field; then, enter the following information:
- Company name or press F5
- The characters “SO #” for the Print Sales Order report or “PO #” for the Print Purchase Order report.
- Press F8 (this is the value displayed in the report interface’s Individual field which is the SO or PO number)
- The word “attached”
- Click the OK button.
