Dear AccountMate Clients,

It’s was a busy weekend supporting clients at NexLAN.  Not just the usual “work over the weekend because the first of the month is Monday and we have systems going live”, which was the case, but also because we heard from at least five different clients via e-mail over the weekend and surprised them all by responding within a handful of minutes.  While I can’t guarantee we’ll always be that quick during off-hours (gotta sleep sometime!), the comments from the clients about this showing how NexLAN has “passion for business” were much appreciated – and is sadly not common enough in the accounting software industry.

Like NexLAN, the majority of our clients are small to medium sized business that are privately held.  Thus they have passion for their businesses too and need support QUICK when it’s needed.  While the owner of a business almost always has passion for it, the support staff at our client base is invariably committed too because of their longevity and almost being family at their respective organizations.

What you might not know, though, is the level of AccountMate’s commitment.  The vast majority of financial management software vendors are corporately held, while AccountMate is privately owned by three individuals: President/CEO David Dierke, Chief Operating Officer David Render, and Chief Technology Officer Tommy Tan.  In fact, these gentlemen purchased AccountMate from one of the major accounting software conglomerates about five years ago with the express purpose of providing a higher level of customer satisfaction, which is definitely working since everyone knows the level of commitment is intensified when your own skin is in the game! Here at NexLAN we see AccountMate’s level of commitment firsthand – by their institution of their Business Partner Advisory Group (which we’re happy to be serving on for the second time), by their annual Business Partner conference and regional “Roundtable” gatherings six months opposite the conference, by their twice weekly TechLine and BP Update newsletters – but most importantly by always being there.  Yes, even during off-hours on numerous occasions, the same way that NexLAN is there for you.

So, I just wanted to take this opportunity to echo back the sentiment we received to our numerous committed clients and to our valued business partner, AccountMate.  I’m not sure we’re out of the woods from the last year’s financial turbulence, but it’s clear that the passionate companies are the ones succeeding.

Tech Note:  Understanding the Recalculate Vendor Data Function

AccountMate’s Recalculate Vendor Data feature is a useful tool to correct certain inaccuracies or inconsistencies affecting the vendor balances. This tech note helps you to identify the conditions that necessitate recalculation of vendor data and the requirement that must be met prior to performing recalculation. This document also discuses the recalculation procedures, the AccountMate tables that are validated during the recalculation process, and the issues that cause the recalculation process to fail.

Q: I attempted to apply finance charge to a customer using the Apply Finance Charge function; however, I received the message, “No invoice in the selected criteria is eligible for finance charge.” I verified that the Finance Charge setting in AR Module Setup is correct and the invoice’s Pay Code is marked as eligible for finance charges. What did I miss?

A: In addition to the Finance Charge setting in AR Module Setup and the invoice Pay Code setup, be sure that the customer record is set to apply finance charge. Verify in Customer Maintenance that the Apply Finance Charge checkbox in the Settings tab is marked for the customer.

Q: Why do I keep getting the message Price < Cost each time I create a sales order or an invoice for an inventory item? How can I get rid of this message?

A: The message Price < Cost serves as a warning that you are selling the inventory item at a price lower than the cost. You will encounter this message when all of the following conditions exist:

  • The Enable Multiple Pricing is not marked in AR Module Setup (this feature is not applicable in LAN).
  • The Allow Negative Price in Inventory Maintenance -> Settings tab is not marked.
  • Unit price entered is less than cost.
  • Mark the Allow Negative Price checkbox in the Inventory Maintenance -> Settings tab if you do not want to encounter this warning message.

TIP: The Signature Maintenance function is subject to extended user access validation. Only users who have been granted access rights to the Update/Delete Signature Maintenance feature can set up, amend or delete signature image records. You may set up access rights in the AccountMate Administrator –> Group/User Setup function.
