Dear AccountMate Clients;

AccountMate has discovered an issue in LAN 6.5 involving check date truncation on an AP check stub and has promptly released a patch.

The bug involves AP check dates on the check stub and occurs regardless of the Century Setup.  When a check is printed from AP, the final numeral of the year is not printed. (For example, 8/04/200 will print instead of 8/04/2005.)

The patch is available to all end-users who have an active AccountMate maintenance agreement (Standard Maintenance/Support Plus or LifeCycle). Installation of the patch is simple. We are happy to either forward you the file for you to implement or to install it for you. Please email us at nexlan@nexlan.com with your preference.

Tech Note

Just as there are different reasons why buyers return their purchases to vendors, there are also a variety of ways that vendors can act on these returns. Vendors may send a replacement or substitute item; repair the returned item before sending it back to the customer; issue a customer credit that may be applied against other purchases; or simply refund the customer. Although AccountMate’s Purchase Order module can handle simple purchase returns, our Return to Vendor (RV) module is better equipped to record and monitor complex purchase return processes. This week’s Technical Note discusses the benefits of using the RV module to handle vendor returns.

Q:When I attempted to close the GL Account ID Maintenance window, the system displayed the message, “Retained Earnings Account ID has not been entered.” What did I miss?

A: You received this message because you have not defined a retained earnings account. To avoid receiving the message you must specify a retained earnings account by selecting a GL Account ID and marking the Use as Retained Earnings Account checkbox below the grid.

Q: Why did AccountMate return a message “Cannot delete the basic price.” when I tried to delete a record in the Inventory Basic Price Maintenance?

A: The record that you attempted to delete is the basic unit price defined for the inventory item in the Inventory Maintenance function. AccountMate does not allow you to delete this record using the Inventory Basic Price Maintenance function.

Q: What happens if I save the imported purchase order transactions despite the presence of import errors?

A: This depends upon the severity of the error. If the purchase order (PO) number already exists or if the number is not included in the import text file, the system will not save the transaction and the erroneous purchase order(s) will not appear in the PO reports. If the error displayed is: Item # [XXX] is invalid or Warehouse [XXX} does not contain Item # [XXX], the system still saves the purchase order(s) but the line item with error(s) are omitted from the final PO(s).

Q: When I clicked the Add Items Below Reorder Point button on the Create Purchase Order By Reorder Quantity Line Items tab, why were some of the inventory items with quantities below the reorder point not included in the grid.

A: Verify in those inventory items’ records that the Used in Purchase Order checkbox on the Information tab is marked.

Q: What are the required settings for an item that is to be set up for use as a repair charge item when I create a return code with a Repair action.

A: The item should be set up with the following conditions. These are set up in the Settings tab of the Inventory Maintenance function.

  1. Update On-hand checkbox must not be marked
  2. Check On-hand checkbox must not be marked
  3. Allow Negative Qty on Invoice checkbox must be marked
  4. Taxable checkbox must not be marked
