It’s coming up on the busy time of year for us in the financial management arena – with many fiscal years matching the calendar year, and there’s always a rush of new installations and upgrades going live January 1st. It’s not too early to start planning, and AccountMate is heavily leveraging FREE Internet-based webinars to make this the smoothest year-end and best beginning-of-next-year ever!
The “new and improved” Payroll initially released with AccountMate for SQL Version 7 is now standard in the new AccountMate for LAN Version 7 – and it has a TON of new features that, admittedly, add significantly to the complexity of the product. Thus, AccountMate is offering a FREE 4 1/2 hours of live webinar-based training in mid-November (details below) and if you run AccountMate Payroll you don’t want to miss them! One important aspect of AccountMate that many clients find great value in is the products from Vertical Solution Providers. For a more immersive training experience, AccountMate offers classroom training at their facilities in Petaluma (north of San Francisco) California. The next three-day session is December 3rd though 5th and we have a couple of clients already committed, with at least one more seriously considering it. The advantage of this (besides a nice trip to California’s wine country! <grin>) is that you’re being trained by the architects and authors of the application in an environment where your interruptions are minimized – and it’s an excellent opportunity to give them feedback on how you’d like to see the product evolve. We highly recommend it for clients that have had turnover since our initial installation training, or those clients we’ve met since the original installation and never taken advantage of our onsite NexLAN-provided training. AccountMate is offering a three part webinar series for payroll aptly captioned “Exploring the AccountMate 7 Payroll System”. These sessions cover the setup and use of version 7 payroll, specifically the following areas:

- How to prepare for period-end closing in Payroll

Tech Note: How to Record Accounts Receivable Customer NSF Checks
Occasionally, banks will not honor customer checks because they are not sufficiently funded. Consequently, adjustments must be made to accurately record the effect that these NSF checks have on customer balances, bank account balances and the company’s cash and outstanding receivable amounts. Q: I need to cancel receipt of an RMA line item; however, the RMA line item was recorded as shipped. When I attempted to cancel the receipt using the Cancel Receive RMA function, I encountered a message saying that the receipt for a line item with Repair and Reship return action cannot be cancelled after it has been shipped. How do I cancel the RMA receipt?
A: To cancel receipt of the shipped RMA line item with a Repair and Reship return action, you must perform the following:
- Void the RMA Invoice in the Accounts Receivable module.
- Cancel the RMA shipment using the Cancel Ship RMA function.
- Cancel the RMA receipt using the Cancel Receive RMA function.

Q: I was setting up a Deduction record and noticed that there is a Link to AP checkbox and an AP Setup button right beside it in the Information tab. What are these for?
A: The Link to AP checkbox, when marked, allows you to assign a vendor to the Deduction record. Marking this checkbox activates the AP Setup button. Clicking the AP Setup button will display the A/P Deduction Setup window where you can set up the AP vendor to whom the deductions will be remitted and the bank account to which the deduction remittance will be deposited. The information entered in this window becomes the default when this deduction code is assigned to an employee record.
