Dear AccountMate Clients,
One month from now, I’ll be at the annual AccountMate Business Partner conference, where we do all the typical conference stuff of hearing about new product development (yes – AccountMate with a .Net front end!), training in the latest version, and being introduced to third party applications that enhance and extend functionality in key ways. One of the highlights of the trip, though, is towards the end of the conference when we have a session where the AccountMate staff has compiled a list of the submitted enhancement requests – and all the Business Partners in attendance get to “vote” to help prioritize them.
I’m not aware of any other mid-tier financial management vendor that allows such direct feedback to product development, thus making the feature set so responsive to the ever-evolving needs of the user base. This process is what drove many of the enhancements in V8.1 (such as the ability to select non-sequential ranges in report criteria) and will be driving future releases, so I’d like to request your input on what features you’d like to see added to the product.
The deadline for us to submit enhancement requests and get them into the compiled list for consideration is Friday, September 17th and I encourage your suggestions before then so we can forward them on for inclusion in this process. Certainly submissions are appreciated other times, and are regularly added to the list, but this is the prime opportunity and we’ve seen great success with this system over the last two conferences and wanted to take this opportunity to solicit your input.

On the running front, am in “active recovery” from plantar fasciitis (painful tendons in the arch of the foot) and currently running 55 miles/week as I ramp up to 70 miles/week pointing towards a mid-December Marathon in Florida (great excuse to escape cold weather). In case you hadn’t heard, eloped to Key West during the last month and am enjoying running with my wife, who’s also an accomplished ultra marathoner.

Tech Note: Understanding the Positive Pay Feature
AccountMate’s Positive Pay feature is one tool to protect your company against check fraud. It allows you to generate a positive pay file for Accounts Payable and Payroll checks that you can transmit to your banks. You can arrange with your banks to honor only those checks listed in the positive pay file. While numerous banks accept positive pay files, there is no single file format prescribed for all banks. AccountMate supports the prescribed positive pay formats of a select number of banks.
These Technical Notes discuss how to set up the positive pay feature, how the feature works, and the relevant reports. They also enumerate the positive pay formats that AccountMate supports, provide a sample of each of these formats, and explain the positive pay file contents.
NexLAN, for a few hours of development time, can bend the output of AccountMate to fit non-supplied bank formats.

Tech Note: GL Financial Report Drill-Down
Using AccountMate’s very powerful Financial Report Drill Down feature you can reconcile major General Ledger account balances with the balances shown in the subsidiary ledgers with ease and flexibility. You can drill down on the amounts in the Income Statement and Balance Sheet to find their composition shown in the General Ledger Listing. From the details of the account balance, you can further drill down to view the source batch’s posting entries, and ultimately drill down to a report showing the source transaction details without ever leaving the report preview.
Not all GL Account balances in the financial reports can be drilled down. This week we republish an article that discusses the limitations of the feature. Click each of the article’s title below to access the document.

Q: When I create an inventory item, the unit of measurement value is wrong. What did I miss?
A: The default unit of measurement (U of M) value is provided by the U of M value assigned in the Inventory Type. To change the value that is defaulted on each new inventory item access Inventory Type Maintenance and change the values assigned in the U of M field. Be sure you drill down on the Overwrite U of M icon and verify the values in the Overwrite U of M window.

Q: How can I change the default value in the Deposit Bank # field in Apply Payment?
A: The default value that is provided in the Deposit Bank # field is tied to the Pay Code that is automatically populated after the customer number is entered. The value in the Pay Code field defaults to the Pay Code that was last used in the Apply Payment function.

Q: My bank refused our pre-note ACH file because the file omitted our payroll bank account number from the detail area. I have verified that the bank account number is entered in Bank Maintenance. What am I missing?
A: To ensure that your bank account number is included in both pre-note and payment ACH files, you must enter the bank account number in the Discretionary Data field in the Bank Account Maintenance ► Electronic Payment (ACH) Setup ► Optional Fields tab.

Q: I have erroneously updated the 1099 information for one of our vendors and now, all 1099 payments that were processed for that vendor after the update were not reflected in the 1099 Information Update function. How can I correct this error?
A: You can correct the updated 1099 information. To do this, perform the following:
- Access the 1099 Information Update ► Current-Year/Previous-Year 1099 Information Update function; then, enter the vendor # of the vendor whom you have erroneously updated the 1099 information.
- Click the Delete button. AccountMate will display a message informing you that it will use the 1099 payments recorded in the AP module the next time you print the 1099 Form for the vendor. Click Yes to continue.
Enter the vendor # again; then, accept or amend the amounts in the 1099 Information Update ► Box 1 to Box 18 tab.
