All modern businesses recognize the importance of dashboards and graphical presentation of KPIs (Key Performance Indicators). If properly defined and presented, it’s the quickest and easiest way for humans to digest and react to important information.

So why don’t more businesses use them?

Sometimes the answer is that you don’t even know they exist. Numerous dashboards are built-in to Acumatica (see the article below on the recent such additions to the Distribution Edition), and AccountMate has “The Executive Summary” in the toolbar which, although not graphical, provides great info at a glance.

But what if you want to “go farther” in the AccountMate world to a truly graphical dashboard? We’ve built some amazing AccountMate-integrated solutions with Microsoft Power BI, and what we’ve learned along the way is that it’s not simple for most end-users to build Power BI dashboards on their own. You pretty much “have to be a geek” to set up the program’s complex features and… well, most people aren’t geeks, so this sometimes ends up not getting the expected utilization and can become another ignored tool…

IRS Section 179 Deduction for 2022

To encourage small and medium businesses to invest in themselves for growth, the Internal Revenue Service continues to offer Section 179 Deduction allowances for companies to claim the price of qualifying equipment purchased during the 2022 tax year as a business expense—providing thousands of dollars in tax savings.

The new items must be purchased, financed, or leased, and put into service, by 11:59 pm, December 31, 2022. So, if you plan to reach out to NexLAN for some end-of-year software, it’s not too early to get on our schedule for implementation to ensure that we can hit the deadline for you.

New: Predefined Dashboards in Acumatica’s Distribution Edition 

In Acumatica, each user can set up a custom dashboard to serve as their home screen, to display the data that’s most central to their job. But not all users are aware of this or know all that’s possible with dashboards, which is a real shame. To help address this, Acumatica 2022 R2, just released in October, includes predefined dashboards for key roles in companies that do wholesale distribution. Users can use them “as-is” initially, and then tailor them over time to add and subtract data they want to see.

For example, the predefined Warehouse Manager dashboard shown here displays the latest fill rate, on-time shipping ratio, warehouse and picking productivity, return rate, average shipments and receipts per day, and more.

Predefined Distribution Dashboards:

  • Sales Manager
  • Purchasing Manager
  • Warehouse Manager
  • Receiving Clerk
  • Shipping Clerk

These dashboard setups are based on conversations and requests from a wide selection of distribution companies, reflecting the most common key performance indicators relevant to each role. These are the types of metrics that staff in these roles need to monitor in order to identify positive and negative trends, manage by exception, and most importantly, to support their daily activities. This “front and center” dashboard display makes it easy to meaure performance, track improvement, drill into things to find root causes, and make changes accordingly.

Whether you’re using the Distribution Edition of Acumatica or any other industry edition, or the general edition, if you don’t have a useful custom dashboard in place for yourself, give it a try! AccountMate Tech Note: Sample Positive Pay Output File Formats

Many clients have recognized the importance of the Positive Pay feature to effectively prevent check fraud.

AccountMate supports a select number of banks and their Positive Pay formats. Article #1269: Sample Positive Pay Output File Formats lists the Positive Pay formats that are available in AccountMate. This document also provides a sample of the Positive Pay formats supported in AccountMate and the details of the contents of the Positive Pay file.

AccountMate Tech Note: Factors Relevant to Updating Reorder Points Based on Reorder Point Formulas

In a manufacturing or trading business, it is often challenging for management to ensure that inventory quantity levels are sufficient to meet the required materials for production or to fill customer orders. A poorly managed inventory system may result in customer dissatisfaction due to delayed product delivery or lost opportunity caused by unfulfilled customer orders. To effectively manage inventory levels, it is essential to consider the reorder points for inventory items.

Article #1220: Factors Relevant to Updating Reorder Points Based on Reorder Point Formulas discusses both the factors relevant for calculating an inventory item’s reorder point, and how the factors are calculated. It also provides information about the default values used in the Reorder Point formula.

Q: I voided a check that was reported as lost in transit but it was later received and cashed by our vendor. How can I un-void a check?

A: You cannot un-void a check in AccountMate. Post a handwritten check for the invoice(s) paid by the voided check to record the payment and update the invoice balance. For bank reconciliation purposes, enter the same check # as the voided check provided that the Allow to Re-use Voided Handwritten Checks option is marked in the AP Module Setup > Printing tab. If the option is not activated, then select Non-Check Transaction and enter in the Reference field the check # of the voided but cashed check.

TIP: A prenote is a zero-amount transaction that you transmit to the financial institution for validation of your vendors, customers, or employees’ bank account records before actual electronic payments are processed.

If you have activated the Electronic Payment feature or you set a vendor, customer, or employee for electronic payment, be sure that the prenote is approved by the bank before you activate the vendor, customer, or employee for electronic payment. You can no longer generate the prenote if:

  • The records have been activated for electronic payment.
  • There is no change in the vendor, customer, or employee bank account records in the electronic payment setup window.

Q: I updated the maximum deduction limit for 401K in Deduction Maintenance. It did not update the deduction limit in Employee Maintenance. What did I miss?

A: Any update in Deduction Maintenance will affect employee records for whom the deduction code will be added after the change was made; it will not affect employee records for whom the deduction code has already been added. To update the employee deduction limit, you must update the employee record.

Q: I did not realize that I must mark the Generate Pay Stub File for E-mailing checkbox in the PR Module Setup ► Printing tab so that I can e-mail employee pay stubs. Is there a way to e-mail the employees’ pay stubs for payroll posted before the Generate Pay Stub File for Emailing checkbox was marked?

A: As a workaround, reprint the checks using the Re-print Payroll Check function so AccountMate will generate the pay stubs behind the scenes. Since the intent is not to reprint checks, choose PDF as the printer to save paper. After the reprint, you can e-mail the employees’ pay stubs.
