Thus, we often focus on this theme here in our NewsLine as it truly holds the secret to business success and, once the superpower is realized, it then supercharges the entire organization. So, please let me encourage you to now take five minutes of quiet time to stare at the ceiling and consider, “What makes our business unique, and how can we be better at it?” Even if the answer isn’t improving the business management system, the results will be worthwhile!

AccountMate/LAN 10.3 is expected to ship in early May. How confident are we that it will? The end-user new features webinar is  scheduled for Thursday, May 13th, noon to 1:30pm CDT, so we’re pretty confident!

Our last newsline encouraged you to Dream a Little Dream of how you could improve your business processes, and gave a few examples. So, to help you germinate ideas, we’re starting a monthly “Dreams Come True” section of examples. To wit…

Dream Come True: We have several clients with product or service delivery destinations that vary—so they’re not “regularly scheduled routes.” Every day is different and it’s a challenge to optimally route their delivery and service vehicles. Neither AccountMate nor Acumatica have delivery routing as built-in functionality, but there are numerous vertical solutions which specialize in this. We’ve integrated to several with both manual and automatic export of pertinent delivery address and expected TAD (time at destination). The clients now enjoy all the functionality and flexibility of their accounting software with the added functionality of optimized delivery routing for the small effort of a simple export!

AccountMate Tech Note: Understanding the Sales Order Credit Hold Feature

The Sales Order Credit Hold feature helps you manage your customers’ credit transactions. Using this feature to its full capacity will help you improve control of credit verification, holds, and approvals. It also increases operational productivity and lessens the risk of forgetting credit issues because the process is cut short.

You can directly create a sales quote but put it on hold instead of converting the sales quote to a sales order. For example, when a customer who has exceeded their credit limit places an order, the salesperson can proceed to create a sales order but put it on hold instead of saving it as a sales quote. The credit manager, when notified of the credit hold, can then hold an immediate investigation and decide whether or not to release the credit hold.

AccountMate Tech Note: Understanding the Customer Finance Charge Feature

Finance charges are additional fees imposed for nonpayment of obligations within a specific period of time. AccountMate calculates and applies finance charges on past-due invoices based on parameters defined in the AR Module Setup, Pay Code Maintenance, and Customer Maintenance functions.

Q: Can I create a subgroup under an existing account group in the Balance Sheet and Income Statement?

A: Yes, you can by using the Report Level feature in Account Group Maintenance. To do this, perform the following:

  1. Verify the Account Group ID assigned to the existing account group (e.g., A1110).
  2. Create a new Account Group ID in the Account Group Maintenance function under the existing account group (e.g., A1110-1); then, assign 2 as the Report Level.
  3. Assign the new Account Group ID to all the GL Account IDs that must be under the subgroup in Charts of Accounts Maintenance.

Module: PR

Q: We have a new SUTA rate that must be used in the next payroll run and onwards. The old SUTA rate applies to existing payroll transactions. There is only one SUTA Rate field in PR Module Setup. Should I change the old rate with the new one?

A: Yes; change the SUTA rate in the PR Module Setup ► State ► SUTA Rate field for the applicable state; then, click OK. This new SUTA rate will be used when calculating the employer SUTA contribution on your next payroll run. It will not change the rate used in existing payroll transactions.

If there is a need to recalculate SUTA, then pay special attention to the dates entered in the Check Date Range fields of the Recalculate FUTA/SUTA Amount function. This function uses the existing rate in the PR Module Setup ► State ► SUTA Rate field to recalculate the SUTA amount in the applicable checks; thus, you must enter a date range for which the new SUTA rate applies.

Q: When running reports, I get an error “UFL ‘u212com.dll’ that implements this function is missing”. What’s up with that?

A: As a Microsoft Windows desktop application, AccountMate reports depend on locally installed runtime files and DLL (Dynamic Linked Libraries) that can be deleted or overwritten by Windows or other applications—and once they “go missing,” you’ll need to reinstall them by performing these steps:

  1. Verify that the Windows User Account Control (UAC) is turned off (set to Never Notify). You can turn this back on after the last step. Consult your System Administrator if you are not familiar with this Windows feature.
  2. Verify that there is no pending or uninstalled Windows Update (even optional updates). If there are, then install the updates before you proceed.
  3. Restart the machine. Then log in as an administrator or a user with administrative rights on the machine.
  4. Reinstall the runtime files according to the screen-by-screen instructions available here and don’t hesitate to give us a call for free telephone and email support if you need helping finding the installation files for your version.
