Dear AccountMate Clients,

Pretty much all mid-tier accounting and financial management software is modular-based, meaning you license and use only the functionality that you need.  AccountMate follows this model, with some modules (such as Accounts Payable) in use at almost every installation, while others (such as Return Merchandise Authorization) only in use where that functionality is needed.  A complete list of AccountMate modules is available here.

 A few years ago, AccountMate released the Upsell Management module, with the idea that you can define accessories for items which are then prompted for during Sales Order entry and increase the value of the sale.  An automated way to ask, “Do you want fries with that?”, it also includes the ability to define pre-written scripts for the sales staff and report what items each salesperson was able to add to the value of the sale by “upselling”.

That’s great, but… Many of our clients said they didn’t sell burgers (to ask for fries) or cell phones (to ask for a car charger), so the Upsell Management module wasn’t that popular…

Then a client who sold a items with many interchangeable, but often incompatible, accessories was bemoaning their high rate of order entry errors – which didn’t get found out until the customer received the order and then had to have the correct accessories overnighted.  They’d tried the common approach of “beat the sales reps with sticks”, but the result was still unhappy customers because the original order wasn’t correct, and unhappy company because of the numerous fire drills and high shipping costs.

That’s when it occurred to me: The Upsell Management module doesn’t necessarily have to focus on “upselling” – it can just as easily provide a list of compatible add-ons and bring order entry errors on those accessories to zero.  Order entry was also faster because the sales reps weren’t thumbing through big binders of information while on the phone with customers.

Used in this way, the Upsell Management module can improve business operations at many companies – even if you’re not “upselling”.

  • Do you sell pumps?  Then after selecting the pump, AccountMate will list only the flanges and connectors compatible with that pump.

  • Do you sell ceiling fans?  Then after selecting the motor, AccountMate will list only the blades and downrods compatible with that fan.

So, what do you sell, that we can reduce the accessory error to zero for?

We’re often touting AccountMate’s flexibility via customization, but here’s a great example of using a built-in module with defined benefits, for a defined cost (standard AccountMate module cost) with a defined implementation schedule (we can turn it on the same day you call us).

AccountMate Core Product Training Class

There’s lots of options for AccountMate training: the built-in context sensitive help files available by hitting <F1> anywhere in the system; online videos if you have an active software maintenance agreement; we’re available to come on site for training; and we receive LOTS of questions from our “Free 15 Minute Telephone/E-mail Support” offer.  But sometimes nothing beats sitting in a classroom where you’re removed from the daily interrupts of your business – and it doesn’t hurt that it’s in Northern California’s Wine Country!

Q: I already closed a period in AP and I forgot to print the GL Transfer Report.  Is there a report that provides similar information after the module is closed?

A: Yes, in the General Ledger module, use the Subsidiary Module Transfer Report which shows all journal batches posted to GL on a per-module basis, which you may also filter by date.

Q: I want to post a prior year-end adjustment journal entry, however the Prior Year-End Adjustment option in the Journal Entry Transactions screen is grayed out.  Why?

A: The posting period must be restricted.  In the General Ledger module, hit <Housekeeping><Posting Period Restrictions> and then uncheck the box for the 13th period of the GL module for the prior year.

Q: I post a handwritten check using the <Post Handwritten Check> function, but I entered an incorrect check date.  Can I amend the transaction and correct the check date?

A: AccountMate will not allow you to change a handwritten check date; however you can void the handwritten check and post it again using the correct check date.  Note that if you may need to mark “Allow to Re-Use Voided Handwritten Checks” in the AP module’s <Housekeeping><Module Setup> to be able to enter the same check number again.
