Dear AccountMate Clients,

With August now upon us, my youngest kids (10yo son and 7yo daughter) are already looking forward to going back to school to see their friends in a few weeks.

And I’d like to encourage you to consider “going back to school”—to make important business contacts with the senior leadership of AccountMate and also to upgrade the staff skill set because there’s no better investment than training!

Obviously, if you have new staff—not uncommon as baby boomers retire, along with regular turnover, company growth, cross-training or changes in staff responsibilities—then training is important.  But experienced staff often fall into the routine of “doing what we’ve always done,unaware of system improvements and enhancements released in the last few years which make processes easier and quicker.

I’ve written previously regarding the myriad training options available, but have a couple new options regarding the formal classroom training classes held at AccountMate corporate headquarters in Petaluma, California.

Core AccountMate class Sept. 18-20

The 3-day Product Training classes continue to be presented quarterly, covering all the core financial modules in a focused environment where you don’t suffer as many interruptions as being in your own offices. Normally, these classes are $2,000 per attendee, but if you have an active Lifecycle Agreement, then don’t forget it includes a seat for one attendee per year. More details are here, and the next presentation of this 3-day class is September 18th through the 20th—plenty of time to get your travel accommodations made and it’s always a great time to enjoy wine country in northern California.

New! Payroll Module class Oct. 16-17

Since the AccountMate Payroll module isn’t covered in the 3-day Product Training class, due to popular demand there will be a special 2-day session focusing entirely on the Payroll module October 16th and 17th at AccountMate corporate headquarters in Petaluma, California. Cost of the Payroll Product Training class is $1,500 per attendee and, sorry, but it’s not available as the “free class” with an active Lifecycle agreement. Contact us for additional information and to sign up.

Custom AccountMate classes

We’ve also recently had clients develop their own Custom Product Training outline, picking and choosing from the core financial modules in the standard 3-day class and the list of advanced modules including Manufacturing, Return Authorization, Item Specification, Kitting, Lot Control, Pricing Control and Customer Inventory Manager. While it can be beneficial to meet other users and be exposed to how other companies are using AccountMate, the Custom Product Training classes focus solely on YOUR business so we can get deeper into how to configure and optimize the system for YOUR maximum benefit. Also, these classes can be held at AccountMate corporate headquarters in Petaluma, at NexLAN’s facility, or even at YOUR facility. Cost of the Custom Product Training class will depend on the length and location and, sorry, but it’s not available as the “free class” with an active Lifecycle agreement.  Please contact us to help develop your Custom Product Training outline to satisfy exactly your needs!

Tech Note: How to Record Inventory Adjustments When AP Invoice Amounts and Accrued Received Goods Amounts Differ

AccountMate’s Accrued Received Goods (ARG) functionality is a powerful means of validating during AP invoice entry that the value you’re invoiced by your vendor matches the cost entered on your Purchase Order and the quantity received.

The ARG functionality can be configured to operate “by quantity” (which is what we recommend as it provides greater visibility) or “by amount”—and it can be tricky in that latter option if there’s purchase cost variances.

So, this month we provide Article #1085: How to Record Inventory Adjustments When AP Invoice Amounts and Accrued Received Goods Amounts Differ to go over those tricks!


Tech Note: Reports to Generate for Non-Customer Cash Receipt Transactions

Last month, we provided Article # 1088: Understanding the Non-Customer Receipts Feature on how to record receipts of non-customer payments, the journal entries resulting from this kind of transaction, and the affected reports—which prompted the astute question of what reports are then available to document these cash receipts. Rising to the challenge to answer this burning question, this month we provide Article #1168: Reports to Generate for Non-Customer Cash Receipt Transactions to answer exactly that.

TIP: The default Warehouse value in some Transaction functions comes from the Customer Maintenance  ► Information tab ► Warehouse field.
These functions are the following:
  • Create Sales Order

  • AR Create Invoice
  • Create Sales Return without Invoice #
  • Recurring Invoice Setup
Note: The Create Blanket SO function is available only in the AccountMate for SQL and Express versions.

Q: When I amended a sales order, I noticed that I could change the warehouse assigned to some inventory line items, but I could not do the same for others. What did I miss?
A: Verify that no shipments have been recorded for the line item. You can only change the warehouse assigned to a line item provided that neither full shipment nor partial shipment is recorded for it.

Q: I need to print several reports from different modules on a daily, weekly, and monthly basis. Is there a way for me to generate these reports in just one sitting to save time and not miss a single report?
A: Yes, the Print Batch function allows you to set up a group of reports to be printed on a regular basis and place these reports in a convenient location where you can simultaneously generate all of them.
